Welcome to the official guide for the 26th Annual WCVNEA Tournament! As we gear up for another exciting year of
competition, this comprehensive booklet is designed to serve as your primary resource for everything you need to know about the  upcoming tournament. Whether you’re a seasoned participant or joining us for the first time, you’ll find essential details that will help you prepare and succeed.

Player Media & Contact Information Consent Disclaimer
By participating in the WCVNEA Tournament, the player (“Participant”) acknowledges and agrees to the following:

  • Image Use Consent: Participant grants WCVNEA Tournament, its affiliates, sponsors, and media partners the irrevocable right to use, reproduce, and distribute any photographs, video footage, or other media in which the Participant appears, taken during league events, games, or related activities. These images may be used for promotional, marketing, archival, or informational purposes across digital, print, and broadcast platforms without compensation.
  • Contact Information Display: Participant consents to the display of their phone number within WCVNEA Tournament official software platforms, including but not limited to scheduling tools, team rosters, and communication systems, for the purpose of facilitating league operations, team coordination, and direct communication among league participants and administrators.

Participant understands that this consent is a condition of participation and that refusal to agree may result in ineligibility to participate in league activities.

AGE REQUIREMENT: All players must be of legal drinking age to play in the licensed establishment where the qualifying
league is played AND are at least 18 years of age.

PAYOUTS: For the 2026 WCVNEA Championships, vouchers will be issued for winnings which can be cashed at the Casino
cage.

Information Booklet

ELIGIBILTY: All players must be sanctioned with VNEA, and the charter should be in good standing. Singles players must
have played a minimum of 8 league nights in the 2025-26 season by Jan 24, 2026.

  1. Active Player Status: Participants must be recognized as active players by their Charter Holder.
  2. Identification: Players need to provide ID for prize money disbursements.
  3. Random I.D. Checks: Participants are subject to random ID checks to verify eligibility.
  4. Registration: To join Scotch Doubles, Doubles, or mini tournaments, players must be registered in the main
    tournament.

Players should be aware of their CSR levels, which can be found on compusport. Any player competing in a division lower
than their ranking, whether in singles or teams, will be disqualified and forfeit all winnings. In team events, the entire
team will be disqualified and forfeit any winnings. CSR will be used to determine eligibility in all events.

CHILDREN: The host venue is responsible for our event’s liquor license and security. It is their prerogative to decide the
liquor, cannabis, and age policies. For the 2026 WCVNEA tournament, children under the age of 18 may not be allowed in
the Event Center and Ball Rooms where matches take place. As there is a casino on site there are further restrictions in
other parts of the complex.

DRESS CODE: This policy ensures that all participants maintain a neat and respectful appearance during competitions.
Here are the key points:

  • No halter tops, midriffs, tank tops, mini-skirts, or cut-offs (shorts must be hemmed and mid-thigh).
  • Shirts must have sleeves.
  • No suggestive attire.
  • No ripped, torn, or stained clothing.
  • Footwear is mandatory.
  • Participants must present themselves neatly and cleanly.
  • Dress code is enforced during all competitions, including mini tournaments.
  • 15 minutes will be given to change into appropriate attire.

RULE AND GUIDELINES: The governing rules of play are detailed in the 2025-2026 VNEA rule booklet and will be strictly adhered to along with the following:

8-BALL TEAM FORMAT:

  1. The 25-game format will be used in the Open Advanced and Masters 8-Ball team.
  2. The 20-game format will be used in the Open Intermediate event.
  3. The 16-game format will be used in the Open Regular and Ladies Regular 8- Ball team events.

The team with the most points at the end of the match will be declared the winner. If there is a tie in the total points, the
teams will play another round, using the same roster as the last round. The team with the most points in the tie breaking
round wins the match. Flip for the first break and alternate thereafter.

SUBSTITUTION RULE: A team may substitute during a match if the following criteria are met

  1. The opposing team captain must be notified before the start of the round in which the substitution is being
    made.
  2.  A player may not play an opposing team player more than once.
  3.  Once that player has played, he/she must keep that same position unless removed for a complete round and
    reinstated in a later round. Once a round has begun, no line-up changes may be made.

DETERMINING THE BREAK: Team captains will flip a coin prior to making the line-up. The winner of the coin toss has a
choice of being home or visiting team. Teams must fill out the score- sheet completely. The teams will then break in
accordance with the score sheet. The order of the teams on compusport can be changed by going into options-flip home
and away.

ELECTRONIC DEVICES: The use of a cell is not allowed while in a game (e.g.: answering a call or viewing a text). 1st offence is a warning to the player; a second infraction will be an Unsportsmanlike conduct given to the player.

SMARTPHONES: These have become a valuable tool in helping Referee’s determine close hits at the local and regional levels in the last few years. At this WCVNEA, players may use their devices as an alternative to calling a Referee. If you decide to referee a shot yourself the shooting teams Team Captains or a designated player act as referee. If the acting
referee cannot make the call, then the video can be used. If the video is inconclusive then it shall be considered a foul.

Tips for Effective Video Review:

  • Position the camera to get a clear view of the shot.
  • Ensure recording is active before the shot is taken.
  • Do not watch the screen during the shot—observe the play directly.
  • If you are uncertain, review the video immediately after the shot and before making your call.

START OF MATCH: All matches will start at the posted time if the assigned tables are available. If player/players are
absent, the match must still begin, and the absent player/ players will have until the end of that round to show up. If they
are not there by the end of the round, the absent player/players will lose that game 10-0. This rule is the same for all
rounds.

FORFEITS: If no team members are available 20 minutes after their posted match time, the team will be forfeited.
Tournament Committee will decide forfeits. However, if enough team members (1), but less than the full team, are available when the match is called, then those present must begin shooting (See 10-15-20 Rule for full details).

SLOW PLAY RULE: Exaggerated slow play will be penalized. After a warning, any longer than ONE MINUTE between shots will be a foul. The third infraction will result in loss of game. Both teams/players will be timed.

PRACTICE: Teams may not practice during a match. A warning shall be issued, then an Unsportsmanlike Conduct, and loss of next game.

PLAYER STATUS: Based on CSR

PROTEST PROCEDURE: The protesting team or person will be required to deposit $50 with tournament officials. If protesters are correct in their protest, they will be refunded their deposit, and the tournament officials will take proper measures in dealing with the situation. If the protest is declined, they will forfeit their deposit. Deposits will go into the
general fund of the WCVNEA.

Entry Deadline: Friday, January 16th, 2026, or as specified by your charter.

To play in singles a player must have 8 weeks of play and be an active member of VNEA (on a team) in the 2025 – 26 Season by Jan 23, 2026. NO EXCEPTIONS

  • Level of Play: Teams will be placed based on combined CSR.
  • Scotch Doubles: Wednesday night, starting at 7 pm.
  • Eligibility: Players must be registered in the event (Teams or singles)
  • Team Composition: Each Scotch Doubles team will consist of one male and one female player.
  • Charter Holder: Team members do not need to be from the same Charter Holder.

  • Entry fee is $70, a $10 green fee is included in each entry
  • Divisions based on number of entries.
  • Before the draw. any changes can be made to a team. Once the draw is made, the CSR of the new player cannot
    take the team over the cap for the division they are in

  • Sign up: Saturday 9 – 10 am.
  • Members do NOT need to be from the same charter

No Referees

SPORTSMAN: Teams that are eliminated in the early rounds of the Tournament, may be eligible to play in the Sportsman
Divisions. There are 3 tournament brackets: 4 Player Teams.

  1. Sportsman’s ‘A’ Division for teams eliminated in 4 rounds or less from the Open Advance, 3 rounds Ladies
    Masters.
  2. Sportsman’s ‘B’ Division for teams eliminated in 4 rounds or less from the Open Intermediate and 3 rounds or
    less Ladies Advanced.
  3. Sportsman’s C’ Division for teams eliminated in 4 rounds or less in Open Regular and 3 rounds or less in Ladies
    Intermediate.

These teams can register to be placed in these divisions, pay no additional entry fee, and share in the overall prize purse.

* The above is a guideline only. The exact cut-off points will be decided at the tournament, depending on the number of
entries in each event.

If you’re interested in becoming a referee for the 2026 WCVNEA Championships, you can register online at www.wcvnea.ca.

Here are some key details:

  • Referee Staff: We aim to have 12-16 referees.
  • Shift Options: Various shifts are available on Thursday, Friday, Saturday, and Sunday, each lasting approximately
    6-8 hours.

Compensation: $20.00 per hour and half of a room’s accommodation for Thu, Fri, Sat, and Sun nights (minimum 20
hours of work required).

If you have any concerns about committing, shift switching is allowed if you find someone to cover your shift. Referees
are allowed to play in only one event (team or singles).

Once again, this year we will hold a referee course on Wednesday 12th February between 2 -4 pm. Registration for the course can be done at wcvnea.ca

Player Rankings

For the 2026 WCVNEA Tournament CSR will be used to determine a player’s division
CSR: We are implementing a new system to streamline division placements for players using CSR. This change is
designed to reduce disputes and ensure fair competition across all divisions.
Key Points:

  • CSR will be captured on Sept 29, 2025, and will determine division eligibility.

  • For help capturing a player’s CSR, please don’t hesitate to contact Nigel.

  • Any player without a CSR must have a valid CSR by January 1, 2026 (minimum 3 stars), or they will be
    assigned a default CSR of 1750.

  • Players can always play

10 – 15 – 20 RULE

There will be a barcode on each table number, players should scan this code when they arrive at the
table This can be used to determine the time a player was present. If you do not scan the barcode,
we will presume you were not at the table at the specified time

For matches that are on time this rule does not apply, and 5 minutes should be deducted (5-10-15). If a match is delayed, then the table assignment time will “start the clock”. For matches that are on time players\teams are expected to be at the table at the posted start time ready to play.

Singles

10 – both players should be at the table ready to play within 10 minutes of the posted start time (or table assignment time) If not, the player present will be awarded 1 win.

15 – 15 minutes after the posted start time, the player present will be awarded another win

20 – After a total of 20 minutes and still no player the match will be forfeited.

Team: If 1 player is present from the team, the match must start

10 – Teams are expected to be at the tables within 10 minutes of the posted start time (or table assignment time) If not, the team present will be awarded 2 x 10-0 wins

15 – 15 minutes after the posted start time, the team present will be awarded another 2 x 10-0 wins
20 – minutes after the posted start time, the match will be deemed a forfeit, and the team present will be awarded the win.

Call a Referee if your opponent is not present.
Once the referee has declared the match over come to the Control desk DO NOT CLOSE THE SCORESHEET
